Reconcile to the paper

The printed statement is the source of truth.

Convert the statement. Check that opening + credits − debits equals the printed closing balance. Then import the .qbo or Xero CSV and reconcile to that same number. One figure, printed by the bank, closes the loop.

    The equation the bank already printed

    Every statement prints an opening balance and a closing balance. Opening + credits − debits has to equal the closing, to the penny. If the grid you are about to import satisfies that equation, every line is there and every amount is right. If it does not, something is missing or wrong, and you know before it reaches the books.

    What a convert hides

    A grid with one line missing looks complete. A merged page footer looks like a transaction. A debit read as a credit looks like a deposit. None of that shows up until the reconcile screen disagrees with the bank, weeks later. The printed closing balance catches all three, on the day, in one number.     The walk, start to finish

    1Upload Drop the PDF from the bank site. Password-protected is fine. A scan is read as text if it has a text layer, and with on-server OCR if it does not.
    2Read the proof The proof bar shows opening, credits, debits and the printed closing. Green means they agree. Red shows the first row where the chain breaks.
    3Download .qbo for QuickBooks, Xero CSV or OFX for Xero, Excel or CSV for anything else. The file carries the printed closing balance.

    4. Reconcile to the same number. In QuickBooks or Xero, the ending balance you type into the reconcile screen is the printed closing balance you already saw tie. The difference should be zero on the first pass.

    Desktop: File → Import → Web Connect

    Online: when the native PDF path is the wrong tool

    QuickBooks Online in the US can read a clean PDF on its own. It shows you the resulting balance after the import is linked to an account, not before. When the month has to be proven first, or the stack is long, or the file is a card, a combined PDF or a scan, convert here, then upload the .qbo through Transactions → Bank transactions → Upload from file, one month at a time.     Xero: CSV or OFX from a tied grid

    Accounting → Bank accounts → Manage account → Import a statement. Use the Xero bank-import CSV in Xero's own columns, or the OFX. Then reconcile to the printed closing balance. The Xero page →

    When it does not tie

    The proof shows the first broken row. Often it is a missing page or a scan that needs the OCR pass. Fix a cell and the proof reruns. If it still does not tie, there is no download and no charge.       Xero's own template columns: Date, Amount (money in positive, money out negative), Payee, Description, Reference, Check Number. The date has to match your Xero organisation's region.
